As an Auto Attendant administrator, you can perform these administrative tasks.

Access Another User's Voicemail Messages

You can access the voicemail messages for any user in your business unit. You can manage other users' messages just as you would your own — you can listen to them, delete them, and forward them to another Auto Attendant user or email them to yourself.

  1. In the Auto Attendant web portal, click Messages.
  2. In Search by Any Field, enter the name of the Auto Attendant user whose messages you want to view.
  3. If you want to, select an option from the Date Range drop-down and click Apply to refine the list of messages. Auto Attendant displays up to 1000 messages at a time. If a user has more than 1000 messages, you may need to specify a custom date range to locate the messages you need.
  4. Sort the messages by clicking on any of the column headers to help you locate specific messages.

Change Another User's Out-Of-Office Options

You can change Auto Attendant users' out of office options. Users will need to manually change their status back to Active when they return to the office.

  1. In the Auto Attendant web portal, click Users .
  2. Locate the user whose options you want to modify and click Edit in the row for that user.

  3. Select Out of Office from the User Status drop-down.
  4. If you want to, select a new backup user from the Backup User drop-down.
  5. Click Save.

View Users with Out of Office Status

You can sort user accounts in the Auto Attendant web portal to view all users who are currently listed as out of the office.

  1. In the Auto Attendant web portal, click Users .
  2. Click the Status column header twice to sort the list so that all users with the Out of Office status appear at the top. The user's backup user, if there is one, is listed in the Backup column.

Create a List of Auto Attendant Users

You can create a list of Auto Attendant users for the business unit that you can copy and paste into a spreadsheet program (such as Excel).

  1. In the Auto Attendant web portal, click Users .
  2. If you want create a list with a subset of users (such as all Active users or all agents), click the appropriate column header to sort the users. For example, to create a list with all Active users, click the Status column header once so that all users with the Active status appear at the top of the list.
  3. From the Display __ records drop-down, select 100.
  4. Select the list of users by double-clicking on the first user's Extension, scrolling to the bottom of the list, then pressing Shift on the keyboard and clicking at the end of the last user's row.
  5. Right-click on the selected users and select Copy.
  6. Open a spreadsheet program, such as Excel, and paste the selected users into a sheet.
  7. Repeat these steps for each additional page of users from the business unit that you want to copy into the spreadsheet.
